User Roles

Manage Users is a Company Tools administrative feature that allows users with the role Travel Manager the ability to search for users within a company account, manage the users within that company account, change profile information for other users, add users to their traveler list (or to an arranger's traveler list) and add new user accounts to the company account.


User Roles: 5 Levels of Security Access

Will the user be booking only his or her own travel or that of others as well? Travel Managers assign the security roles of all other user accounts. They can also set and change the status of the user accounts: Enabled, Disabled or Deleted.

Five levels of security access exist in Egencia: Travel Manager, Global Arranger, Arranger and Traveler, and Guest. As primary client contact, your role is a Travel Manager-level security role


Role Privileges

Travel Manager

Can arrange travel for all users and perform all administrative duties. This includes access to Central Billing, Reporting, Policy, Managing Users, etc. The person signing up for the company account is automatically designated as a Travel Manager, and may designate any other user as a Travel Manager - in turn giving him or her the same level of access to and empowerment within the site.

Global Arranger

Can arrange travel and access profiles for all users.

Arranger

Can arrange travel for assigned users and access their profiles; these users are assigned by the Travel Manager.

Traveler

Can arrange own travel and access his or her own profile.

Guest

Guest accounts should be considered shared "group accounts", organized by type of traveler (e.g. HR Recruits, Contractors, Spouses). Guests do not have any access at all to own accounts or company's site. A "quick" one-time account, a traveler account does not have to be created before travel is booked. Employees should not be assigned this role.


What is The Difference Between "Regular" Roles and The Guest Role Type?

In addition to the four regular-employee user security roles (Travel Manager, Global Arranger, Arranger and Traveler) there is a more flexible role type for one-time travelers: Guest. Guests are grouped by profile type (rather than individual names as with regular employee accounts), e.g. HR Recruit, Contractors, Interviewees, Spouses, etc. These are not stored; traveler information is entered "on the fly" (while travel is being booked). Only Travel Managers, Global Arrangers, Arrangers can use this account to book for one-time travelers.
