Staying in Touch - When it Really Matters
We hope you'll never have to act on this information, but it's important to be prepared if one of your travelers is injured or sick while on the road.
Here are some tips for being prepared for an incident on the road:
- Although it's not mandatory for a traveler to enter this information, encourage your travelers to fill out their emergency contact information in their online booking profiles. This information is stored in the Traveler contact information and preferences section of the user's profile.
- The best time to get travelers to fill out their profiles is when they first create their accounts. If you need to encourage more completed profiles, you may need to get creative. One idea is to hold a monthly drawing. Tell your travelers that in order to win, you'll be calling the emergency contact listed in their profile. Periodic reminders or notices posted on internal Web pages can also be helpful.
- If you need to reach a traveler's emergency contact and there's nothing in the profile, be sure to check with your HR department. That contact information is often dated, but it might really help out in a pinch.
