Your company profile contains the central administrative information for your company.
In the Company Tools box, click on Company Profile. You will need:
Your company display name appears at the top of the site for all users. It also appears in select areas of the site, such as the Broadcast Messages area.
Company rewards programs, offered to small businesses by certain airlines, allow companies to earn reward credits for purchases made with a specific airline by that company's employees within certain specified program parameters. (See the specific airlines for their terms and conditions.)
To get airline company rewards program credit for purchases via the Egencia site for your programs, please select the program from the drop-down list, enter your membership number and click Add.
Supported programs as of January 2006:
NOTE: Continental's program operates differently than those above, though you may get company credit for relevant bookings through Egencia. See the Continental FAQ on their Web site, which indicates a company simply has to send Continental all their individual employees' OnePass numbers: http://www.continental.com/programs/reward/rewardone/details.asp
Displays your negotiated rate contracts that are loaded and available for booking.
View your company's password and security settings.
Customize the destinations displayed to your travelers on the homepage of the hotel search wizard.
You may create additional company profile fields that can be viewed by travel managers and agents for purposes of communicating information to agents, direct billing numbers for hotels and car vendors, and more. You might use these to accommodate items not available yet through the site, such as: a Southwest Airlines SWABIZ number, "Special Request" preferred vendors for ground transportation and limos, etc.)
If your company has negotiated special discount rates with car rental agencies, you will want to enter this information here To apply the relevant vendor discount to all car purchases made on Egencia, enter your company's discount codes in this section. All car purchases with these vendors made by travelers or agents will reflect the appropriate corporate discount and include all amenities (such as unlimited mileage) that you may have negotiated.
Simply select the vendor you wish to update from the drop-down list, enter your discount number, and click the Add button. If you would like your travelers to always choose company-negotiated rates (even if other rates may be cheaper) check the box for Always use negotiated rate. (An exception to this is Budget, which always applies the best rate it has available regardless of it being negotiated or non-negotiated.)
Manage hotel negotiated rates. Hotel listings will automatically sort by price. However, you may designate a sort order for chain-level discounts as well as individual properties. In this section you may prioritize hotel properties, with "1" being the highest priority.
No immediate action needed. This section displays your travelers by service level (Corporate, Corporate Select, Executive) and lets you edit these groups.
There is no place to change the company address - where do I do this?
If you would like to change your company address, please contact your dedicated Consulting Manager or our Corporate Account Management group at the phone number listed on your company's Egencia site.
Are company rewards programs the same as frequent flyer programs?
No, personal travel rewards programs are set up in an individual traveler's own user profile.
How do I display company-negotiated rates on the site?
If your company has negotiated car rates, you may integrate them into the site at no charge via the instructions under Car corporate discount numbers. If your company has specially-negotiated rates set up directly with airlines or hotels that you would like to see loaded into the site, you may contact your dedicated Consulting Manager or the Expedia Corporate Account Management group (at the number displayed on your company's Egencia site). Account management will work with our implementation team in order to kick off this process, and will further explain any fees associated with loading company negotiated air and hotel rates.
(See more on prioritizing hotel negotiated rates in the Company Profile section. See more on prioritizing negotiated rates in the search results in the Policy section.)
After loading your rates, company negotiated options returned will appear in a single, integrated display with published and Expedia-negotiated rates. If your company has negotiated special rates, these will be marked by a handshake and a gold header bar.
