Privacy Statement for Expedia Corporate Travel
Introduction
Expedia Corporate Travel understands that making purchases through our Corporate Travel Program involves a great deal of trust on your part; we take this trust very seriously, and make it our highest priority to ensure the security and confidentiality of the personally identifiable information ("PII") you provide us. (PII includes information that can be linked to a specific individual, such as name, address, phone number, or e-mail address.) As a participant in our Corporate Travel Program, you have the right to understand our information privacy practices prior to providing Expedia Corporate Travel with any of your PII. The description below of our Corporate Travel Program is designed to facilitate your understanding of these practices.
Corporate Travel Program
Overview
To manage its business travel needs, your company has enrolled in the Expedia Corporate Travel Program. Under this Program, your company must designate a travel manager ("Travel Manager") to manage and administer the travel needs of your company's employees. Your company and/or the Travel Manager may also appoint one or more travel arrangers ("Arranger" or "Global Arranger") to purchase and manage the travel of individual employees ("Travelers"). Travel Managers, Global Arrangers and Arrangers may also book on behalf of a non-employee ("Guest"), as deemed appropriate by the company. A Global Arranger may generally access and book travel for all Travelers for your company under the Corporate Travel Program, while Arrangers may generally access and book travel for only those Travelers assigned to the Arranger by a Travel Manager.
Travelers
Travelers may either purchase and manage their own travel or rely on their Travel Manager or Arranger or Global Arranger to do so on their behalf. To purchase and manage their own travel, Travelers must register to become a member of the Expedia Corporate Travel Website ("Website") or have profile data loaded in our system by the Expedia Corporate Travel implementation team. Travelers who do not register to become members of our Website must rely on their Travel Manager, Arranger or Global Arranger. If you are a Traveler, this policy applies to you regardless of whether you are purchasing and managing travel yourself or through your Travel Manager, Arranger or Global Arranger. This policy also applies regardless of whether the travel you purchase is business or personal. Accordingly, unless we say otherwise, when we refer to "you" in this policy, we are referring to you as the Traveler, whether you are acting on behalf of yourself or through a Travel Manager, Arranger or Global Arrger.
Travel Managers, Arrangers and Global Arrangers
While this policy is primarily directed at Travelers, it also applies to Travel Managers, Arrangers and Global Arrangers. As a general matter, any PII that a Travel Manager, Arranger or Global Arranger provides to us about himself or herself in connection with our Corporate Travel Program is protected as set forth in this policy. Expedia Corporate Travel, however, reserves the right to contact Travel Managers, Arrangers and Global Arrangers as contemplated by their company's Corporate Travel Agreement with us (e.g., for feedback on the Program, to discuss the business relationship, discuss new promotions, etc.). This contact may occur via phone, e-mail or postal mail.
In addition, in purchasing and managing travel on behalf of any Traveler or Guest, Travel Managers, Arrangers and Global Arrangers are responsible for obtaining the Traveler's consent before acting on the Traveler's behalf and for ensuring that the Traveler receives and agrees to the terms of this policy. Each Travel Manager, Arranger and Global Arranger also agrees to comply with the terms of this policy when providing or handling any PII of any Traveler.
Travel Administration by Your Travel Manager, Arranger or Global Arranger
If we are required to send you any notification or communication (e.g., travel itineraries, confirmations, Travel Alerts, etc.), we will send them to you if you are a registered user of our Website or if you are not a registered user but your Travel Manager, Arranger or Global Arranger has provided us with your address. Otherwise, we will send such notification or communication to your Travel Manager, Arranger and Global Arranger, who will be responsible for sending it to you.
Your Travel Manager, Arranger and Global Arranger may have the ability and discretion to edit, delete or disable your account with Expedia Corporate Travel. Your Travel Manager, Arranger and/or Global Arranger may also specify additional email addresses that may be sent email copies of your itinerary confirmations with each purchase, which will contain information about your itinerary as well as any additional Company data collected during purchase. We are not responsible for any of their actions in this respect, and any questions in this regard should be directed to your Travel Manager and/or Arranger or Global Arranger.
Whether you purchase travel directly from us or allow your Travel Manager, Arranger or Global Arranger to do so on your behalf, your Travel Manager, Arranger or Global Arranger may have access to your member ID, password, name of your member account, as well as your travel itineraries and all other information in your account, and may share this information with others within your organization. Your Travel Manager, Arranger or Global Arranger will also be able to update your profile settings (excluding your Member ID and password) and travel preferences. Your Travel Manager, Arranger or Global Arranger will also be able to view, change, or cancel any of your trip itineraries.
Scope of Policy
This policy sets forth the information collection and use practices of Expedia Corporate Travel. The policies or practices of your company may differ, and we are not responsible for any use or disclosure of your PII by anyone at your company or any acts or omissions of your Company, Travel Manager, Arranger or Global Arranger. If you have any questions about the manner your Company, Travel Manager, Arranger or Global Arranger handles your PII or purchases or manages travel on your behalf, please contact the appropriate representative of your company.

Information collected about you
Expedia Corporate Travel collects personally identifiable information ("PII") about you that you specifically and voluntarily provide. Your Travel Manager, Arranger or Global Arranger may provide us additional PII about you such as employer ID number. Member information
Expedia Corporate Travel collects your Member ID, password, and e-mail address when you register to become a member of our Website.
Traveler profile information
Expedia Corporate Travel collects the full name and contact number when a travel reservation is made for you. We may also collect information about your preferences, including meal requests, seat selection, frequent flyer/hotel/car rental programs and membership numbers, and ticketing options. This information is stored in the My Profile area of your Expedia Corporate Travel account and is also available through your Travel Manager, Arranger or Global Arranger.
When someone other than yourself is accompanying you on travel purchased through Expedia Corporate Travel, we may collect PII and travel preferences about that individual. You should obtain the consent of other individuals prior to providing Expedia Corporate Travel directly with their full names, contact numbers, e-mail addresses, and travel preferences, as they will be unable to directly access our systems to view or change any information you provide on their behalf.
Travel purchase information
Expedia Corporate Travel collects the billing address of the credit card that is used to purchase travel. If your credit card is used to purchase the travel, we will also collect credit card information, including card number, card type, cardholder name, and expiration date, in order to bill you for travel purchased through Expedia Corporate Travel. Surveys
Expedia Corporate Travel may offer our members and Website visitors an opportunity to participate in a survey on the Website regarding their experience with our site. Before you access the Expedia Corporate Travel Website, Expedia requires you to sign in as a member, using your Member ID and password. Once you sign in as an Expedia Corporate Travel member, we record the Member ID and the name on the member account in the cookie file on your computer. We may also record your password in this cookie file if you checked the box entitled "Save this password for automatic sign-in." Your Member ID, password, and the name on your member account is stored in the cookie file as encrypted data, so no one can view the information it contains by obtaining unauthorized access to your computer. Travel planning and purchase
Information collected when you complete your traveler profile is used to confirm and process your travel reservation. In addition, information collected when you purchase travel is used to bill your credit card and deliver your travel itinerary, either electronically or through the mail.
Travel Alerts notification
In the event your travel plans are disrupted because of mechanical, weather, or carrier business conditions, Expedia Corporate Travel may send you notifications, including e-mails, to inform you of these conditions and help you make alternative travel arrangements. Whether your travel was booked by your Travel Manager, Arranger or Global Arranger on your behalf, any Travel Alert notification will be sent directly to the email address specified within your profile.
Out of policy booking notification
If your company has configured travel policy enforcement settings, it may also activate a setting that enables designated individuals to receive email notification, including full itinerary information for your purchases, of any booking that you make on our site that does not comply with your company's policy settings on our site. The list of designated individuals that will receive this additional email notification is specified by your Travel Manager or Global Arranger. If a booking does not comply with your company's policy settings, this email will also contain information regarding the first flight alternative that complied with your company's policy settings on our site that you declined.
Marketing and similar notifications
As a participant in the Expedia Corporate Travel Program, you may receive communications from us about special promotions, specials, trip information, or other travel opportunities on Expedia Corporate Travel and its marketing partners. You can opt out of receiving any promotional communication at any time on the My Profile page under the heading "E-mail settings," or by telling your Travel Manager, Arranger or Global Arranger that you no longer wish to receive such communications from Expedia Corporate Travel. (Expedia Corporate Travel cannot be responsible for the failure of your Travel Manager, Arranger or Global Arranger to communicate your preference to us.) You can also unsubscribe from these communications at any time by following the instructions in the communication.
We may also use your e-mail address or telephone number to contact you about changes to your purchased travel itinerary. To assess the effectiveness of these e-mails, we may attach a Web beacon that provides confirmation when you open an e-mail from Expedia Corporate Travel. This only occurs if your computer supports such technology.
You may also receive postal mail notifications from us about special promotions, flight specials, trip information, or other travel opportunities about Expedia Corporate Travel and its marketing partners.
Responses to your questions or suggestions

Like any other travel agent, this information must be shared with our travel suppliers to confirm your reservation and travel preferences. Although Expedia Corporate Travel offers travel products from hotel, airline, rental car, and other travel suppliers that are reputable companies, we have not placed limitations on these suppliers from using or disclosing your information without your permission. Therefore, we encourage you to review the information privacy practices of any travel suppliers whose products you purchase on the Website. In addition, these travel suppliers may also contact you as necessary to obtain additional information about your confirmed reservation.
Expedia Corporate Travel will occasionally share aggregated information with our service providers. This information does not contain any PII and is used to develop featured programs and content that will be of interest to our members and Website visitors.
In the event that you make a new, or update an existing, travel reservation by calling our toll-free number, your information may be accessed by a third-party service provider, as necessary, to respond to your request for customer service.
Expedia Corporate Travel may contract a reputable third party to facilitate the distribution of survey, promotion, or similar programs. Upon completion of these projects, all information is returned to Expedia Corporate Travel.
Trusted business partners
In addition, we may partner with trusted third-party Web sites to offer travel services from Expedia Corporate Travel. If we do, these trusted third-party companies will add travel sections to their Web sites in order to offer Expedia Corporate Travel provided travel services.
Our obligations
Expedia Corporate Travel may be required by law to disclose information you have provided in obtaining our travel products or services. The information in the My Profile page of Travelers who are not registered on the Website will be provided by their Travel Managers, Arrangers or Global Arrangers. These Travelers may change their e-mail address and subscribe or unsubscribe by providing appropriate instructions to their Travel Manager, Arranger or Global Arranger. (Expedia Corporate Travel cannot be responsible for the failure of your Travel Manager, Arranger or Global Arranger to communicate these instructions to us.) You, your Travel Manager, Arranger and your Global Arranger can update or correct names, phone numbers, passport information, emergency contact information and any other information associated with your profile; and update your travel preferences. You can also change your password and e-mail address, and elect to have an automatic password sign-in when logging on to the Website. All of the foregoing options are subject to My Profile Travel Restrictions, if any.
My Trips
The My Trips page on the Website allows you to view, update, or delete any saved trip itineraries.
Communications from Expedia Corporate Travel
You will receive communications from Expedia Corporate Travel if and when you:
- Complete the Expedia Corporate Travel Program Application
- Sign up to become an Expedia Corporate Travel member
- Request to close an account
- Purchase travel, including Special Request inventory not directly available through the Expedia Corporate Travel site, via an agent or the Website

Purchase travel
Each time you purchase travel through Expedia Corporate Travel, or change or cancel a confirmed travel reservation, you will receive confirmation of your travel itinerary via e-mail. Either you or your Travel Manager, Arranger or Global Arranger may maintain an additional list of email addresses that may receive notification of your travel purchases and/or online changes or exchanges. E-mail confirmations of travel purchases sent to you and to these additional e-mail addresses may contain the following information: an indication that a travel item was booked outside of company policy; company policies not adhered to; reason codes supplied for booking out of company policy; custom data fields and department codes, if relevant and if collection is required by your company. In the event that your travel plans are disrupted because of mechanical, weather, or carrier business conditions, Expedia Corporate Travel may contact you to inform you of these disruptions and help you make alternative travel arrangements. Any Travel Alert will be sent to the e-mail addresses specified within your account. If your travel was booked by your Travel Manager or Travel will be sent directly to your Travel Manager or Travel Arranger.
Elect to receive promotional marketing communications
By participating in the Expedia Corporate Travel Program, you may occasionally receive communication from us notifying you of special promotions or other travel news. Special promotional e-mail communications are intended to inform you of information, new or unique travel opportunities and special deals that are available from Expedia Corporate Travel.
You can opt out of your subscription to Expedia Corporate Travel's promotional e-mail services at any time on the My Profile page under the heading "E-mail settings," or by telling your Travel Manager, Arranger or Global Arranger that you no longer wish to receive such communications from Expedia Corporate Travel. (Expedia Corporate Travel cannot be responsible for the failure of your Travel Manager, Arranger or Global Arranger to communicate your preference to us. You can also unsubscribe from these communications at any time by following the instructions in the communication.
When you request assistance with viewing your itinerary, logging on to the Website, or accessing your account, we will respond to you via e-mail or telephone.
In addition, you may occasionally receive postal mail notifying you of special promotions or other travel news. You can unsubscribe from this postal mail service by following the instructions on the postal mail piece you receive.
Surveys
To help us improve Expedia Corporate Travel and serve you better, from time to time we may e-mail surveys to you to learn more about your experience with our site. Protecting your information
We want our members and Website visitors to feel confident about using Expedia Corporate Travel to plan and purchase their travel. Expedia Corporate Travel has implemented a security program to keep information that is stored in our systems protected from unauthorized access.
Currently, Expedia Corporate Travel only stores the information you provide when registering to become an Expedia Corporate Travel member, create a travel profile, purchase travel, or use selected travel tools.
